Job Description

Position Title: Senior Executive Assistant Department: Operations Reports to: President & Chief Operating Officer (COO) FLSA : Exempt Position Summary: The Executive Assistant to the President/Chief Operating Officer (COO) provides high-level administrative support, ensuring seamless daily operations, strategic calendar and communication management, and efficient coordination across multiple departments. This position plays a key role in helping the President/COO execute company-wide initiatives by managing logistics, supporting cross-functional projects, and maintaining communication with internal and external stakeholders. The role requires exceptional organizational skills, discretion, and the ability to operate effectively in a dynamic, fast-paced environment. Essential Duties & Responsibilities:

  • Executive Administrative Support:
  • Manage and prioritize the President/COO’s calendar, meetings, travel, and correspondence.
  • Prepare executive-level presentations, reports, agendas, and meeting materials.
  • Track and manage action items and deliverables, following up with stakeholders as needed.
  • Coordinate meetings and communications with direct reports and department heads.
  • Serve as a liaison between the President/COO and internal/external parties, ensuring timely and accurate communication.
  • Project & Operational Coordination:
  • Support operational and strategic initiatives by organizing tasks, timelines, and progress tracking.
  • Assist in the coordination of cross-departmental efforts led by the President/COO.
  • Maintain organized records of executive decisions, meeting notes, and project documentation.
  • Research, compile, and summarize information to support data-driven decision-making.
  • Communication & Confidentiality:
  • Draft and edit high-level communications on behalf of the President/COO.
  • Handle sensitive information with the highest level of confidentiality and discretion.
  • Maintain professional and responsive interactions with internal leaders and external partners.
