Job Description
We are on the lookout for an enthusiastic and organized Event Marketing Coordinator to join our team. This is a fantastic opportunity to help execute global event marketing programs and contribute to the seamless execution of both virtual and in-person events. As an Event Marketing Coordinator, you will be responsible for managing the logistics, coordinating with vendors, and ensuring a top-tier experience for our event attendees.
Key Responsibilities:
Event Logistics & Execution
Oversee all event logistics from start to finish for virtual and in-person events, including webinars, trade shows, and customer events.
Create and maintain detailed project timelines and checklists using tools like Monday.com.
Support onsite event execution and virtual event production, ensuring smooth operations.
Collaborate with vendors, venues, and internal teams to meet event requirements and deliverables.
Program Support
Assist with the creation and tracking of event budgets, ensuring expenses are within the approved range.
Manage event registration processes and communications with attendees.
Ensure proper lead capture and data entry into marketing systems for follow-up.
Support the creation and distribution of event materials, including promotional content.
Coordinate speaker logistics, including travel arrangements and presentation materials.
Administrative & Reporting
Maintain the event calendar and ensure all program documentation is up to date.
Manage event marketing inventory and supplies.
Schedule and coordinate internal planning meetings for upcoming events.
Process invoices and track budgets accurately.
Prepare post-event recap reports and provide valuable insights to the team.
Required Skills:
2+ years of event coordination experience.
Familiarity with marketing automation and CRM systems.
Excellent written and verbal communication skills.
Ability to travel up to 30% for event execution.
Strong attention to detail and organizational skills.
Proficiency with project management tools (experience with Monday.com is a plus).
Preferred Qualifications:
Experience with virtual event platforms and webinar technology.
Background in B2B marketing or the technology industry.
Knowledge of tools such as Marketo and Salesforce.
Experience with basic budget management and vendor coordination.
Education Requirements:
Bachelor's degree in Business, Marketing, Communications, or a related field, or equivalent professional experience.
