Documentation Specialist

  • Location : Remote /Hybrid : New York
  • Position Type : Contract
We are looking for a meticulous and experienced Documentation Specialist to join our team. This role involves preparing, editing, maintaining, and updating a variety of technical documents, including user manuals, system specifications, reference guides, and training materials, throughout the lifecycle of systems or projects.
The ideal candidate will have strong technical writing skills, the ability to collaborate with cross-functional teams, and a deep understanding of documentation best practices. As a Documentation Specialist, you will ensure all documents are accurate, comprehensive, and accessible to intended audiences.

Key Responsibilities:
Documentation Creation and Maintenance:
  • Develop and update high-quality technical documentation, such as:
    • User Manuals
    • Training Materials
    • Reference Guides
    • System Specifications
    • Standard Operating Procedures (SOPs)
  • Ensure documentation is clear, concise, and aligned with the needs of both technical and non-technical audiences.
  • Translate complex technical concepts into user-friendly language.
Collaboration and Knowledge Gathering:
  • Work closely with developers, engineers, product managers, and subject matter experts (SMEs) to gather technical details and understand project requirements.
  • Attend project meetings to stay informed about updates and changes to systems or processes.
  • Conduct interviews with stakeholders to ensure comprehensive documentation.
Quality Assurance and Compliance:
  • Review, proofread, and edit technical content to ensure consistency, clarity, and compliance with organizational standards.
  • Maintain version control and ensure all documentation adheres to quality and industry standards.
  • Regularly audit and update existing documents to reflect changes or enhancements.
Technical Library and Resource Management:
  • Organize and maintain a centralized documentation library.
  • Implement and manage version control systems to ensure users access the latest documentation.
  • Develop templates and best practices for document creation and maintenance.
Training and End-User Support:
  • Create training materials and user guides to assist end-users in understanding systems and processes.
  • Provide workshops or training sessions to facilitate the adoption of new documentation and processes.
Technology and Tools:
  • Use tools like Microsoft Office Suite, Adobe Acrobat, and Content Management Systems (CMS) to create and manage documentation.
  • Leverage version control platforms such as Confluence, SharePoint, or Git.
  • Familiarity with advanced documentation tools like Markdown, LaTeX, or XML is a plus.
Qualifications:
  • High School Diploma + 2 years of relevant experience.
  • Bachelor s Degree in Technical Writing, Communications, Information Systems, or a related field is preferred.
Experience:
  • Proven experience in technical writing, editing, or documentation.
  • Experience in working with cross-functional teams in fast-paced environments.
  • Familiarity with software development lifecycles (SDLC) or Agile processes is advantageous.
Skills:
  • Strong technical writing and editing skills.
  • Proficiency in tools such as Microsoft Word, Excel, Adobe Acrobat, and CMS platforms.
  • Exceptional organizational and time-management skills.
  • Ability to handle multiple tasks and projects simultaneously.
Preferred Knowledge:
  • Familiarity with ISO or IEEE documentation standards.
  • Basic understanding of programming concepts, APIs, or system architectures.
  • Experience in creating documentation for cloud-based systems or software applications.
